Summary
  • The administrative assistant is responsible for routine clerical matters and assuring that documents flow in a coordinated and efficient manner. Assures appropriate office communication occurs with all staff and customers. Performs secretarial functions for assigned leadership, supports organizational scheduling and provides support to departmental activities and projects. The Administrative Assistant is responsible for all secretarial and administrative duties for the Administration Department, Nursing Departments, and other Departments as assigned.
  • This position works under the supervision of the Director, and is employed by Mosaic Health System.
Duties
  • Provides assistance to assigned leader, preserving the confidential nature of items of which he/she has knowledge. Includes phone support, scribe, correspondence, presentations, scheduling, etc. Provides secretarial support for department by preparing, composing, typing, copying, forwarding and receiving facsimiles; acts as scribe for meetings; prepares agenda, meeting notices and meeting materials; and makes arrangements for meetings such as room setup, catering, etc. as assigned by Leaders.
  • Maintains files, supply ordering, inventory of small equipment and coordinates call for service, organizes and makes deposits of miscellaneous payments, postage and general office duties in an orderly manner.
  • Keeps Leader informed of appointments, meetings and work in progress. Maintains calendar and coordinates meetings, travel arrangements and maintains the integrity and standards of the office.
  • Checks, copies, and submits department mileage sheets to accounting in a timely fashion. Assists with department expenditure records and check requests.
  • Supports new hire orientation.
  • Other duties as assigned
Qualifications
  • High school diploma or GED equivalent is required. Associate's Degree within Business courses with emphasis in secretarial and management skills is preferred.
  • 3 years of secretarial, scribe, computer and receptionist experience utilizing Microsoft office and word processing tools, as well as medical terminology and previous experience in a healthcare setting are preferred.
  • Personal computer skills and business machine knowledge are required.
