Job Summary
The Office Assistant will provide administrative and operational support to the Criminal Justice and Legal Studies Department and help maintain a professional, welcoming, and efficient office. The Office Assistant will serve as the first contact for students, faculty, staff and visitors and will support routine office operations and departmental activities.

The overall purpose of the position is to provide dependable administrative support to the Criminal Justice and Legal Studies Department while giving the student employee meaningful experience in professional communication, organization, customer service, office procedures, and working within an academic environment.
Essential Duties
Responsibilities may include:
  • answering and directing phone calls
  • monitoring and responding to routine departmental email inquires as appropriate
  • greeting and assisting students and visitors
  • making copies, scanning, filing, and organizing department materials
  • assisting students with general questions and directing them to the appropriate faculty member or university resource
  • providing clerical and administrative assistance to faculty
  • preparing materials for classes, meetings, events and student activities
  • assisting with department mail and correspondence
  • maintaining office supplies and common areas
  • assisting with bulletin boards, flyers and departmental communications
  • helping with guest speakers and other student activities
  • performing other department-related duties as assigned

Degree Seeking
At least an overall 2.0 GPA
Enrolled at least part-time
Preferred Qualifications
Undergraduate Senior Major in Criminal Justice and Legal Studies
Knowledge, Skills, and Abilities
  • Strong verbal and written communications skills.
  • Ability to communicate professionally and courteously with students, faculty, staff, visitors and members of the public.
  • Basic knowledge of standard office procedures and equipment; including telephone, printer, copier and scanner.
  • Ability to learn and utilize university computer systems and departmental procedures.
  • Strong organizational and time-management skills with attention to detail.
  • Ability to follow written and verbal instructions and complete assigneed tasks accurately and in a timely manner.
  • Ability to manage muliple tasks and prioritze responsibilities appropriately.
  • Ability to work independently with appropriate supervision and as part of a departmental team.
  • Good customer service and interpersonal skills, including the ability to assist students in a welcoming and professional manner.
  • Ability to recognize when a question or concern should be referred to a faculty or staff member.
  • Ability to maintain confidentiality and appropriately handle sensitive student, faculty and departmental information.
  • Ability to exercise professionalism, discretion, dependability and sound judgement.
  • Willingness to learn departmental and university policies and procedures.
  • Ability to assist with departmental events, projects, student activities, and other duties as assigned.
Physical Demands Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
Additional Demands
This position may involve access to student information and department records, the student will be expected to maintain confidentiality, exercise professionalism and good judgement, communicate appropriately with students and visitors, and comply with University policies regarding student records and privacy (FERPA).
