Job Description | The Executive Administrative Assistant provides detailed and confidential support to the management of a department, performing a wide variety of administrative, clerical, and support activities. This position will support the Department of Academic Affairs and work with the Provost’s Office.
Essential Job Duties: - Perform highly responsible, confidential, and complex administrative and clerical functions, as required to assist department management.
- Assist Provost and other Academic Affairs leaders in coordinating fall and spring commencement ceremonies.
- Serve as liaison with other departments, individuals, and external institutions and agencies on a range of issues.
- Coordinate schedules and calendars as required; coordinate meetings and events and make travel arrangements as necessary.
- Assist with contracts.
- Maintain records and data.
- Assist with the development and oversight of the budget, financial information, and reports.
- Handle phone calls, mail, and emails appropriately and professionally.
- Assist with the planning and coordination of events.
- Maintain office supplies as needed.
- Represent the department at meetings and on committees as required.
- Perform other related duties as assigned.
Knowledge, Skills and Abilities: - Proficient in Microsoft Office programs and other general office programs and equipment.
- Ability to learn new computer software.
- Knowledge of relevant university policies and procedures.
- Strong customer service skills.
- Good problem-solving skills.
- Organized thinker with exceptional attention to detail.
- Excellent communication skills, both verbally and in writing.
- Ability to work with confidential information.
- Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
- Basic knowledge of event planning.

Physical Demands | - General office conditions. Exposed to moderate noise levels.
- Required to use close vision and be able to focus.
- Regularly required to talk and hear; frequently required to sit, stand, and bend at the knee and waist, and walk.
- Must be able to have repetitive wrist, hand and/or finger movement to type and work on computer.
- Must have finger dexterity and hand-eye coordination to work on computer, telephone, and related office equipment.
- Regular attendance is a necessary and essential function.
