The primary outcome you will be responsible for delivering will be to provide exceptional executive level administrative support to expand the Community Foundation’s ability to serve more donors and have a greater impact.

Opportunity Overview
RESPONSIBILITIES
1. Executive Support:
a. Provide exceptional administrative support to the President & CEO, including but not limited to managing schedules, drafting correspondence, and preparing meeting materials.
b. Coordinate and document Board and Committee meetings, ensuring professional presentation materials and timely follow-ups.
2. Business Development:
a. Research and schedule speaking engagements and meetings with civic groups and influential contacts to expand the organization’s reach.
b. Maintain accurate records and follow-ups in the Customer Relationship Management system to support business development efforts.
3. Operational Efficiency:
a. Evaluate and consistently improve existing processes, documenting workflows and developing resources for team support and training.
b. Develop and implement streamlined operational systems to enhance workflow and productivity.
4. Financial & Administrative Support:
a. Assist with financial reporting, and basic analysis, ensuring accuracy and timeliness.
b. Coordinate with financial vendors and maintain up-to-date records.
5. Program & Donor Support:
a. Provide technical assistance and guidance for scholarship applicants while promoting the program through outreach and relationship building with counselors.
b. Deliver exceptional customer service to donors, supporting onboarding and addressing inquiries.
6. Office Management:
a. Ensure a welcoming and organized office environment by managing supplies, greeting guests, and handling phone and mail communications.

QUALIFICATIONS & EXPERIENCE
1. Proven experience in an administrative or executive assistant role, with a track record of managing complex schedules and providing high-level support.
2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and CRM systems.
3. Demonstrated ability to design and optimize operational systems and processes to increase efficiency and effectiveness.
4. Basic analytical skills and experience generating and interpreting reports in Excel.
5. Excellent written and verbal communication skills, with experience drafting correspondence and presentation materials.

COMPENSATION
Range of $19 – $24 per hour based on qualifications.

Full-time position, Monday to Thursday, with an estimated weekly workload of 32 hours.
